Overview

Mage2Expert Better Order Grid is an extension for Magento 2 that upgrades the admin Sales → Orders grid with seven independently toggleable features: color-coded rows by order status, a products quick view popup, five extra filterable columns (Products, SKUs, Coupon Code, Billing Phone, Shipping Phone), mass order status change, mass order delete, a full order archive system with a dedicated Archived Orders grid, and Delete / Archive / Restore buttons on individual order view pages. Every feature has its own Enable / Disable toggle in Stores → Configuration → Mage2Expert → Better Order Grid, so you switch on only what your operation needs. There are no storefront changes, no modifications to customer-facing routes, and no external service dependencies. The extra grid columns are fetched via optimised JOIN subqueries — a single SQL query regardless of how many columns are enabled or how large the order table is.

Features

  • Color-Coded Order Rows — assign a background hex colour to each order status directly from the admin configuration. The grid renders every row in the colour matching its current status, so operators can distinguish pending, processing, and completed orders at a glance without reading the status label on every line. Separate odd and even row colours are configurable for orders with no status-specific assignment. Colours apply to both the main Sales → Orders grid and the Archived Orders grid.
  • Products Quick View Popup — a Products column in the order grid displays ordered item thumbnails; clicking the eye icon on any row opens an inline modal showing the full product breakdown without navigating away from the grid. The modal includes product thumbnails, names, SKUs, quantities, live stock levels from the Magento inventory system, all ordered item options (size, colour, configurable attributes), and a complete order financial summary covering subtotal, shipping, discount, and grand total. The modal is keyboard-accessible and closes with the Escape key.
  • Product Names Column — adds a filterable, sortable column to the order grid showing a comma-separated list of all ordered product names per order. Included in CSV and XML grid exports.
  • Product SKUs Column — adds a filterable, sortable column showing the SKUs for every line item in the order. Included in CSV and XML grid exports.
  • Coupon Code Column — adds a filterable, sortable column showing the discount coupon code applied to the order, if any. Useful for tracking promotion uptake directly from the order grid without opening individual orders. Included in CSV and XML grid exports.
  • Billing Phone Column — adds a filterable, sortable column showing the telephone number from the order billing address. Included in CSV and XML grid exports.
  • Shipping Phone Column — adds a filterable, sortable column showing the telephone number from the order shipping address. Included in CSV and XML grid exports.
  • Mass Change Status — select any number of orders using the grid checkboxes, choose Change Status from the Actions dropdown, pick a target status from all statuses configured in your store, and apply. Every updated order receives an automatic status history comment recording the old status, the new status, and the timestamp. Works with Magento's select-all-pages selection. The target status list is drawn live from your Magento order status configuration including any custom statuses you have added. Requires the Mage2Expert_BetterOrderGrid::change_status ACL resource.
  • Mass Delete Orders — permanently removes selected orders and all associated data (invoices, shipments, credit memos, status history) using Magento's native order repository. Disabled by default. Requires explicit configuration enable and the Mage2Expert_BetterOrderGrid::delete_order ACL resource, keeping it away from regular operators until explicitly granted. A confirmation step is required before deletion proceeds.
  • Order Archiving — move fulfilled, cancelled, or old orders to an archive without deleting them. Archived orders are hidden from the main Sales → Orders grid and accessible instead under a dedicated Sales → Archived Orders grid that supports full filtering, sorting, and CSV / XML export including all the extra BOG columns and row colour coding. Archive and unarchive work as mass actions on any selection. The archive table is lightweight — it stores only order IDs and leaves all order data in place.
  • Archived Orders Grid — a separate admin grid under the Sales menu showing only archived orders. Supports the same column set, filter bar, sort controls, column chooser, and export as the main order grid. Row colour coding and quick view popup work here too.
  • Per-Order Page Buttons — Delete Order, Archive Order, and Restore from Archive buttons appear in the toolbar of the individual order view page (Sales → Orders → View). Delete Order requires the delete_order ACL resource; Archive and Restore require the archive_order ACL resource. The correct button is shown automatically: Archive appears for active orders and Restore appears for orders already in the archive.
  • Granular ACL Permissions — Mass Change Status, Mass Delete, and Order Archiving each have a dedicated ACL resource under Mage2Expert_BetterOrderGrid, allowing you to grant or restrict each action independently per admin role without affecting the other features.
  • Enable / Disable without Uninstalling — a master Enable Module switch in Stores → Configuration → Mage2Expert → Better Order Grid suppresses all BOG output while leaving all configuration and archive data intact. Individual features can also be toggled independently. Re-enabling any feature takes effect immediately after a cache flush.
  • Zero Core Code Modifications — built entirely on Magento's plugin, UI component, layout XML, and ACL architecture. No class rewrites, no preferences, no patches. Safe alongside Magento upgrades and other extensions.

How It Works

After installing and enabling the module, navigate to Stores → Configuration → Mage2Expert → Better Order Grid. The General tab has a master enable switch and individual toggles for each feature. Enable the features you want and save. No reindex or cache compile is required for most changes — a cache flush is enough. For row colours, go to the Row Colors tab, pick a background hex colour for each order status in your store, and save. The grid immediately renders each row in the matching colour. The extra columns (Products, SKUs, Coupon Code, Billing Phone, Shipping Phone) appear in the grid's column chooser and can be shown or hidden per session using Magento's standard column visibility controls. All extra columns are filter-ready from the moment they are enabled.

Color-Coded Order Rows

The Row Colors configuration tab lists every order status configured in your store. Each row has a colour picker where you enter or paste a hex value. You can also configure a default odd-row colour and even-row colour that apply to any order whose status has no colour assigned. Colours are applied as inline styles on the grid row element so they work with any admin theme that renders the standard order grid. The feature uses a UI component column plugin and does not modify any core template files.

Products Quick View Popup

The popup is rendered as a Magento UI component modal. When toggled open, it fetches the product and order data already available in the grid collection — no additional AJAX call is made. Thumbnails are loaded from the product media gallery at a configurable size. Stock levels are pulled from the Magento inventory (MSI-aware). Configurable and bundled product line items show the parent item's selected option values alongside the child item details. The modal layout is a responsive table that scrolls horizontally on small screens and includes a clearly labelled financial summary section at the bottom.

Mass Change Status

Selecting orders and choosing Change Status from the Actions dropdown opens a confirmation form showing the number of selected orders and a dropdown of all available statuses drawn from Stores → Order Status. On submit, the module resolves the correct Magento order state for the chosen status by querying the sales_order_status_state table, updates each order's state and status via OrderRepositoryInterface::save(), and appends a status history comment to each order for a full audit trail. Partial failures (individual orders that cannot be updated) are reported without rolling back the successfully updated orders.

Order Archiving

Archiving uses a dedicated mage2expert_bog_archived_orders table that stores only the order IDs of archived orders. No order data is moved or duplicated. A collection plugin adds a LEFT JOIN to this table on the main order grid query and appends a WHERE bog_archive_excl.order_id IS NULL condition after Magento’s filter pool has finished processing — so the archive exclusion is always applied as an AND condition and cannot be OR’d away by Magento’s internal filter merging logic. The Archived Orders grid uses a subclass of this collection that skips the exclusion condition and instead joins only archived order IDs, so filters and sorting work identically to the main grid.

Use Cases

  • High-volume order operations — colour-coded rows and the quick view popup reduce the time to triage a page of orders from minutes to seconds when your team processes hundreds of orders per day.
  • Customer service teams — Billing Phone and Shipping Phone columns mean operators can call a customer without opening the order, and the Coupon Code column makes it instant to confirm which promotion a customer used.
  • Fulfilment and warehouse teams — the Products and SKUs columns let pick-and-pack staff verify order contents from the grid without navigating to each order, reducing errors and clicks.
  • Marketing and promotion tracking — the Coupon Code column with live filtering makes it straightforward to see all orders placed with a specific promotion code and export them for reporting.
  • Stores with large order history — the archive system keeps the active order grid fast and focused by moving completed and historical orders to a separate grid that is still fully searchable and exportable.
  • Development and staging environments — mass delete makes it easy to remove test orders in bulk without navigating into each order individually.
  • Multi-role admin teams — granular ACL resources for Change Status, Delete, and Archive mean you can give warehouse operators colour coding and quick view without exposing deletion or archiving to their role.
