Overview

Request For Quotation for Magento 2 (RFQ module) allows customers to request custom pricing for products directly from the Magento storefront. Instead of purchasing products at the standard price, customers can submit their required quantities, product details, additional information, and attachments for a personalized quotation — making it an ideal Magento 2 RFQ solution for B2B stores, wholesale businesses, and bulk-order sellers.

The module provides a complete RFQ (Request for Quotation) workflow, from submitting a quote request to admin approval, proposal creation, customer negotiation, and final checkout. Admins can review requests, set quoted quantities and prices, add discounts or shipping estimates, and communicate with customers throughout the process.

Customers can request quotes for individual or multiple products and can even add products that are not available in the store. Once the admin sends a proposal, customers can review the offered prices, accept the quote, and proceed through the normal checkout process — creating a smooth, negotiation-friendly buying experience for B2B and bulk purchase customers.

Business Value

Request For Quotation module helps merchants offer flexible, negotiated pricing while streamlining custom quote management for B2B and bulk-order customers.

By enabling a Magento 2 quote request workflow, merchants can:

  • Capture B2B and bulk-order leads that would otherwise be lost at fixed storefront pricing.
  • Offer personalized, quantity-based pricing without manual back-and-forth over email.
  • Speed up quote turnaround with centralized request, proposal, and negotiation management.
  • Support custom and non-catalog product requests to serve unique customer requirements.
  • Build customer trust with transparent communication, attachments, and proposal history.
  • Convert accepted quotes directly into orders through the standard Magento checkout.
  • Improve sales team efficiency with structured request tracking, expiry, and reminders.

Features

  • Easy Quote Request: Allow customers to submit RFQ requests directly from eligible product and category pages.
  • Multiple Product Requests: Customers can add multiple products to a single quote request and specify the required quantities.
  • Custom Product Requests: Let customers add products that are not available in the store by entering product details, SKU, quantity, and notes.
  • Custom Request Fields: Admin can add custom fields to collect additional information required for preparing and processing quotes.
  • File Attachments: Allow customers to upload drawings, specifications, and other supporting documents with their quote requests.
  • Admin Quote Management: Manage all customer quote requests from a centralized admin panel with search, filters, status, customer, and expiry details.
  • Flexible Quote Pricing: Admin can set quoted quantities, unit prices, quantity-based pricing, discounts, surcharges, and shipping estimates.
  • Quote Validity & Lead Time: Admin can define how long a proposal remains valid and provide an estimated delivery lead time.
  • Customer Communication: Customers and admins can exchange messages and attachments directly within the quote request.
  • Proposal Negotiation: Customers can request the same items again, while admins can send revised proposals or withdraw previous proposal versions.
  • Accept & Checkout: Customers can accept the quoted proposal and proceed to the standard Magento checkout process.
  • RFQ Expiry & Reminders: Set an expiry period for quote requests and configure reminders before the request expires.
  • Email Notifications: Configure email notifications for new requests, sent quotes, accepted quotes, messages, declined requests, withdrawals, and other RFQ activities.

How Does It Work?

Step 1: Customer Submits a Quote Request

The customer selects one or more products from eligible product or category pages, specifies quantities, adds custom or non-catalog products if needed, and submits the RFQ along with any notes or file attachments.

Step 2: Admin Reviews the Request

The admin reviews the incoming quote request from the centralized RFQ management panel, checking product details, quantities, custom fields, and attached files.

Step 3: Admin Prepares a Proposal

The admin sets quoted quantities, unit prices, quantity-based pricing, discounts, surcharges, and shipping estimates, and defines the proposal's validity period and estimated lead time.

Step 4: Customer Reviews and Negotiates

The customer reviews the proposal, communicates with the admin through built-in messaging if changes are needed, and the admin can send a revised proposal or withdraw a previous version.

Step 5: Customer Accepts the Quote

Once satisfied with the pricing and terms, the customer accepts the proposal.

Step 6: Customer Completes Checkout

The accepted quote flows directly into the standard Magento checkout process, allowing the customer to complete the purchase at the agreed price.

Step 7: Notifications and Follow-Up

Email notifications are sent throughout the process for new requests, sent quotes, accepted quotes, messages, declined requests, and withdrawals, while expiry reminders keep both admin and customer on track.

Benefits for Admin

  • Centralized RFQ Management: Track, search, and filter all customer quote requests from a single admin panel.
  • Flexible Pricing Control: Configure quantity-based pricing, discounts, surcharges, and shipping estimates for every quote.
  • Structured Negotiation: Send revised proposals, withdraw outdated versions, and communicate directly within each request.
  • Custom Data Collection: Use custom request fields to gather the exact information needed to prepare accurate quotes.
  • Better Lead Conversion: Turn accepted quotes into orders seamlessly through the standard checkout flow.
  • Automated Follow-Up: Keep the sales process moving with configurable expiry periods, reminders, and email notifications.

Benefits for Customers

  • Personalized Pricing: Request custom pricing based on real purchase quantities instead of fixed storefront prices.
  • Flexible Requests: Request quotes for multiple products, including items not currently listed in the store.
  • Clear Communication: Exchange messages and attachments directly within the quote request for faster clarification.
  • Transparent Proposals: Review quoted prices, discounts, and estimated delivery lead time before accepting.
  • Simple Checkout: Accept a quote and move directly into the familiar Magento checkout process.
  • Supporting Documentation: Attach drawings, specifications, or other files to communicate exact requirements.
